Depending on how you use our website or deal with us, we may collect your name, email address, telephone number, billing information, order and transaction details, purchase and enquiry history, collection or installation arrangements, and correspondence about warranties, refunds or complaints. We may also receive technical data such as IP addresses, device information and website activity where our services collect it.

Card payments are handled through Stripe. Stripe may collect payment card and billing data, transaction information, device information and fraud-prevention signals. We do not normally receive or store complete card numbers.

4. Sharing information

We share relevant personal information where needed with Squarespace (website hosting, forms and ecommerce), Stripe (payments and fraud prevention), Google Workspace (business email), and professional advisers, suppliers or installation providers where appropriate. A payment wallet such as Google Pay may also process information if used or presented during checkout. These providers process information under their own applicable terms and privacy notices, as well as any relevant processing arrangements. We do not sell customer contact lists.

5. Security

We take reasonable steps to protect customer data, including using access controls and reputable service providers. No internet service can guarantee complete security.

6. How long we keep information

We keep personal information only for as long as necessary for its purpose, including legal, accounting, warranty and dispute obligations. Our usual periods are:

  • Orders, invoices and transactions: generally six years, or longer where accounting or tax rules require it.

  • Enquiries and quotations that do not become orders: normally up to 12 months after the last contact.

  • Returns, refunds and complaints: normally up to six years after resolution where justified for records or legal claims.

  • Warranty records: for the relevant warranty period plus any further period justified by legal duties or claims.

  • Marketing information: until you unsubscribe or withdraw consent where applicable, or it is no longer needed; suppression records may be retained to respect opt-outs.

  • Technical and analytics information: according to the actual platform settings and periods needed for website operations.

Where information is no longer required, we will delete or anonymise it securely. These periods must be applied in practice and may be extended where a legal obligation or active dispute requires it.

7. International data transfers

Squarespace, Stripe and Google Workspace may process or access personal information outside the United Kingdom, including in the United States. When UK data protection law restricts a transfer, the relevant provider must rely on a lawful mechanism such as UK adequacy regulations (including the UK Extension to the EU–US Data Privacy Framework where applicable) or approved contractual safeguards. Exact arrangements depend on the recipient and service. You can contact us for further information about relevant safeguards.

8. Your data protection rights

Subject to applicable conditions, you can request access to, correction or deletion of your personal information, restrict or object to certain processing, request data portability, and withdraw consent where we rely on it. Contact info@midulsterclimbingframes.co.uk to make a request. You can also complain to the Information Commissioner’s Office at ico.org.uk.

We send electronic marketing only where permitted by applicable law. You can unsubscribe or object to direct marketing at any time.
